Booking Terms & Conditions

CAMP3 Snowboarding Incorporated is a non-profit snowboarding club, registered as a New Zealand Incorporated Society.

This document (herein referred to as the “Terms”) governs the agreement of booking for any product delivered by CAMP3 Snowboarding Incorporated (“CAMP3”), for any participant (“Member”). This document is supported by the CAMP3 Snowboarding Constitution, which all Members must agree to when joining the club.

Access to the various products delivered by CAMP3 (collectively, the “Products”) and use of this website, are subject to the following Terms. By engaging CAMP3 Products, you are agreeing to all of the Terms, as may be updated by us from time to time. You should check this page before joining a CAMP3 Product and take notice of any changes we may have made to the Terms.

1. Bookings

1.1. By booking any product with CAMP3 all Members agree to have read and agreed to our Terms. These Terms, the course information and any other written information we have brought to Member’s attention before confirming a booking, sets out the details of the Member’s booking with CAMP3.

1.2. All the CAMP3 Products are subject to availability and minimum numbers. Unless otherwise stated, minimum numbers for all Products are 4 people per group.

1.3. All bookings must be made through the website camp3snowboarding.com. Every individual person booking on a Product are required to join as a member of CAMP3 before making the booking.

1.4. Payment of any funds constitutes acceptance of the CAMP3 Terms. It is the responsibility of the person paying to inform all other people in the booking group of all terms, conditions and general information. The person who pays (the primary person) shall be primarily liable for all fees for the entire group in the event of any cancellation. This primary person must:
a) He/she has read these terms and conditions and has the authority to and does agree to be bound by them;
b) He/she accepts financial responsibility for payment of the booking on behalf of all persons detailed on the booking.
c) He/she ensures that all individuals within the booking are signed up as members of CAMP3.

2. Payments

2.1. Once we have secured the minimum number of bookings for a CAMP3 Product, payment requests will be sent out via email. Your spot is not confirmed until full payment for the Product has been received.

2.2. The annual member fee is applied to a Member’s first booking within the calendar year.

2.3. A confirmed booking constitutes a booking made by a Member once full payment for the Product has been received.

2.4. Payments for Products based in New Zealand can be paid via bank transfer from a domestic bank or via Flywire using credit card.

2.5. Payments for Products based outside of New Zealand will be paid via Flywire, and can be through bank transfer or credit card.

2.6. All credit card payments incur a 2% payment fee.

2.7. Any discounts or offers advertised on our website cannot be used in conjunction with other discounts or offers.

3. Cancellations & Refunds

3.1. Any cancellation for a confirmed booking on any Product must be notified in writing.

3.2. Any cancellation for a confirmed booking that is MORE THAN 4 weeks prior to the first day of the Product commencing will receive a full refund, less a 10% administration fee.

3.3. Any cancellation for a confirmed booking that is WITHIN 4 weeks of the first day of the Product commencing will receive no refund. The option to defer to another Product of the same value offered within the same season is possible, if there is availability and the level is suitable. A 10% administration fee may need to be applied here.

3.4. Any bank fee or associated cost in providing cancellation refunds are at the full cost and responsibility of the Member. The purchase of a comprehensive travel insurance policy is advised, to cover the potential loss arising from cancellations. If the reason for your cancellation is covered under the terms of your insurance policy, you may be able to reclaim these charges.

3.5. Transferring a booking to another person requires that the said person is also a Member of CAMP3 and their riding level is appropriate to join the Product the confirmed booking is for. Any transfer requires notification in writing and approval from CAMP3 Administration, prior to transfer. CAMP3 is not responsible for any transfer of funds in this regard.

3.6. For New Zealand based camps, in the unlikely circumstance that the mountain is closed for multiple days in a row, and we cannot facilitate off-snow training, a pro-rata refund will be issued at a rate of $250 per day.

3.7. For camps whereby unforeseen cancelations reduce the attendance below the minimum numbers required, CAMP3 reserves the right to reduce the number of coaching days, relative to the group size and length of camp.

4. Insurance & Injuries

4.1. Adequate travel insurance is a condition for all Members when joining a CAMP3 Product. Members must take out a policy of insurance in order to cover against the cost of cancellation; the cost of assistance (including repatriation) in the event of accident or illness; loss of baggage and money; and other expenses. This insurance must cover snowboarding as an activity, riding off-piste and in the terrain park. Failure to disclose relevant information may affect a Member’s insurance policy. If any Member fails to travel with adequate insurance cover CAMP3 will not be liable for any losses in respect of which insurance cover would otherwise have been available.

4.2. CAMP3 cannot provide a refund due to injuries sustained by Members during a Product. If a member chooses not to join a designated coaching day due to sickness, tiredness, injury or other commitments, there is no provision for a replacement day or any form of refund. Any injuries that occur during a CAMP3 Product should be claimed on the Member’s own insurance policy.

4.3. For injuries that occur prior to a Product commencing, within the 4 week no refund period, CAMP3 will endeavour to provide a deferred place on a Product later in the same season, less a 10% administration fee.

4.4. Snowboarding involves a certain element of risk and is undertaken at the individual's own risk. CAMP3 and its coaches are not responsible for any injury that occurs during the course of a camp, on or off snow.

5. Accuracy

5.1. CAMP3 endeavours to ensure that all of the information and prices both on the website and in any advertising material that we issue are accurate; however, occasionally changes and errors occur and we reserve the right to correct prices and other details in such circumstances. It is the Member’s responsibility to check the current price and all other details relating to the Product prior to payment.

5.2. Due to the nature of weather, ski resorts have lift closures from time to time. This is not the responsibility of CAMP3, however we will endeavour to work around any closures and offer alternative training days within the same period.

5.3. Many camps are focused on riding in specific terrain. Should the specified terrain not be available due to resort operations, closures, contests or unsuitable snow conditions, CAMP3 will endeavour to utilise alternative terrain. For very specific terrain, such as the Cardrona Superpipe, this may or may not be possible and access to such facilities is out of our control.

6. Ability Levels & Behaviour

6.1. Each product has a minimum acceptable snowboard ability level. It can sometimes be difficult to judge a Member’s ability level and a situation may arise whereby a Member is below the minimum level required for the Product that has been booked. CAMP3 endeavours to cater to this eventuality, however in some cases alternative lessons may need to be arranged. The alternative option available to the Member may vary in duration and may not be equivalent to the original Product. Any additional costs incurred for this alternative option will be payable by the Member.

6.2. Behaviour of all Members on CAMP3 Products must be professional and encouraging of others. All Members must obey the snow responsibility code. Any behaviour of a Member that falls below an acceptable standard is at risk of being removed from the Product, with no refund.

6.3. Members are responsible for their own equipment, both the security and maintenance, at all times. Please take the appropriate security measures to ensure the safety and security of your equipment.

7. Lift Passes

7.1. Lift passes may or may not be included in the cost of the Product. It is the responsibility of the Member to check whether the Product they are booking includes this.

7.2. All member’s purchasing lift passes for Cardrona Alpine Resort or Treble Cone (Real NZ), regardless of inclusion into the Product or otherwise, agree to the Terms and Conditions of Cardrona Resorts.

7.3. Lift passes included with Products operated at other international resorts are liable to the resort’s own Terms and Conditions, and Members agree to these conditions upon payment.

8. Transport

8.1. Transport is typically not included in the cost of the Product. It is the responsibility of the Member to check whether the Product they are booking includes this.

8.2. Members who engage in transport services provided by a third party are subject to the operator’s terms and conditions, regardless of whether the payment for this service was made through CAMP3 or otherwise.

9. Accommodation

9.1. All accommodation, unless otherwise stated, is the responsibility of the Member.

9.2. For Products that include accommodation within the cost, CAMP3 will be responsible for management of booking. In the event of damage being inflicted on the property, all Members occupying the property will be required to pay pro rata for the damage sustained.

9.3. CAMP3 is not responsible for any claims (including all legal costs) made by the supplier or any third party as a result of a Member’s individual conduct.

10. Force Majeure

10.1. Except where otherwise expressly stated in these Terms, CAMP3 will not be liable or pay the Member any compensation if contractual obligations are affected by any event which we could not, even with all due care, foresee or avoid. These events can include, but are not limited to war, threat of war, civil strife, terrorist activity and its consequences or the threat of such activity, riot, the act of any government or other national or local authority including port or river authorities, industrial dispute, lock closure, natural or nuclear disaster, extreme weather events, fire, chemical or biological disaster and all similar events outside our control or the control of the supplier concerned.

11. COVID-19

11.1. Member’s are subject to all COVID-19 regulations and laws imposed by the countries and the resorts in which CAMP3 operates.

11.2. CAMP3 will treat COVID-19 to be like any other illness from 2023 onwards; if a Member sick, they should respectfully remain at home. No other allowances will be made for cancelations related to COVID-19.
